Managing Appointments
This guide provides step-by-step instructions on how to effectively manage appointments. It covers various tasks such as finding specific appointments, editing or deleting appointments, modifying payment information, adding new appointments, managing group appointments, applying coupons, and setting up recurring services. Whether you’re a business owner or an administrator, this guide will help you efficiently handle your appointment scheduling process.
1. Navigate to the Appointments menu to see a complete list of all appointments.
2. Utilize the search tool and various filters to easily find specific appointments. The list can be ordered in ascending (ASC) or descending (DESC) order for all columns.
3. You have the option to edit or delete any appointment by clicking on the corresponding options. Bulk deletion of appointments is also possible by selecting multiple appointments and clicking the delete button at the bottom.
4. Clicking on the icon in the PAYMENT column reveals detailed Payment Info. Here, you can modify the Payment Price or Payment Status as required.
5. To add a new appointment, click on the ‘NEW APPOINTMENT’ button in the Appointments menu.
6. In the New Appointment window, select all necessary options related to the appointment, including date and time. Availability is based on the Timesheet, holidays, and special days settings.
7. If the service capacity is set to "Group," multiple clients can book the same timeslot. When adding customers to a group appointment from the admin panel, the number of customers can be chosen, which will be deducted from the service capacity.
8. If there are extras related to the Service, select them from the Extras tab. Additional information can be added to the appointment using the Custom Forms feature.
9. Coupons can be applied manually from the admin panel during the appointment creation.
10. The "Run workflows on save" checkbox controls whether notifications are sent to customers when manual changes are made. Ensure this is checked if notifications are required.
11. For a recurring (repeat) service, it’s important to choose both the preferred frequency and the time for each session. Also, establish the initial date of the service and, if relevant, specify the total count of occurrences for these appointments.
Tip: For recurring appointments, the end date is either calculated based on the number of times set in the ‘Times’ section or is automatically determined by the service settings if a Fixed full period is set.
